The mission of the School of Human Ecology is to understand the complex relationships and interdependence among individuals, groups, and families, and to focus on quality of life issues through research, creative innovation, education, and outreach.

B. History of the School of Human Ecology

A Department of Home Economics was first established at the University of Wisconsin-Madison in 1903. Since then it has undergone numerous name and status changes, most recently becoming the School of Human Ecology in 1997. This section includes information about the people at SoHE who can help you with payroll, reserving A/V equipment and classrooms, computing, expense reimbursement, and other academic staff needs.

Facilities Manager

The Facilities Manager is in charge of a) distributing keys for your office, the building, and the A/V closet, b) managing maintenance requests, and c) one-time classroom reservations for special meetings.

If you need a key, your supervisor must fill out a Key Request Form, found in the faculty and staff forms section of the SoHE website, and return it to Jonie.  If you lose your key, notify Jonie immediately. If you have a maintenance request for your office or notice something in the building that needs attention, call or email Jonie and explain the problem. Please do not contact any campus offices on your own. All requests must be funneled through Jonie.

Several rooms in the SoHE building can be reserved by faculty and staff: 21, 38, 108, 118, and 440. You must first check their availability on WisCAL. The process to do this is outlined in the Using WisCal for Ad Hoc Room Reservations document found on the faculty and staff forms section of the SoHE website. If the room is available, you can email Jonie with your name, date and time of the event, the event name, technology needs, and the number of expected attendees.

SoHE offers pre- and post-grant award support to faculty and staff. They will help submit grants, serve as a liaison to the Office of Research and Sponsored Programs, help purchase supplies, pay invoices and travel reimbursements, and monitor your budget(s).

SoHE Desktop and Computer Support

John Hilgers and three students provide technology support to SoHE faculty and staff. Typically one student is on duty during the hours of 8:00 a.m. to 5:00 p.m. to provide immediate assistance. These students are generally employed year-round; however, there may be gaps in support during spring break and the summer.

F. Help Desk

SoHE works with the UW-Madison Division of Information Technology (DoIT) Help Desk to coordinate technology support for SoHE faculty and staff.  All SoHE technology support requests, including software questions and problems, hardware issues, and network and printer issues should be directed to the DoIT Help Desk. 

Contacting the DoIT Help Desk for all desktop technology support ensures that you receive a quick resolution to common questions, and the SoHE students who are on site for a limited time will respond most efficiently to those issues that require further diagnosis and in-person follow-up.  In addition, the SoHE technology office can better track problems, which can help allocate future SoHE technology resources.

The following procedures should be used to request help:

  1. Call 4-HELP (4-4357) and make the appropriate selection from the phone menu.
  2. Once connected with a DoIT Help Desk Representative:
  3. Provide your first and last name and (if required) university ID.  Identify yourself as a "School of Human Ecology GOLD CUSTOMER.”  This will trigger an email to the SoHE technology support office if your problem cannot be solved on the phone. Indicate whether you are calling from your office or other location.  You will be asked whether you are using a Mac or a PC and whether you are on the campus network.

  4. DoIT Help Desk handles requests in the following manner:
    • The agent answering your call will work with you for up to 10 minutes to address the issue immediately.
    • If the problem is not resolved, the case will be routed within 5 minutes via email to the SoHE student technicians. They check their email every 20 minutes, unless they are helping another staff person in the building, and will contact you as soon as possible to diagnose the problem and fix it.
    • If the student technician is unable to solve your technology problem, John Hilgers will respond to resolve the problem.

    For Printer hardware problems: A printer technician from DoIT User System Services will be dispatched to your SoHE office for repair. You or your department will be responsible for a time and materials charge by DoIT for these calls.

  5. Always get a DoIT Help Desk case number to facilitate tracking.

What you can do before you call the HELP Desk:

Response time for the SoHE student computer technicians

Problems will be handled on a first-come, first-served basis.  If SoHE student computer technicians cannot address the problem within a reasonable time, they will notify you.  The SoHE student computer technicians are instructed not to enter your office unless you are present or you have given express permission for the students to be in your office when you are not present.

Classroom Technology

For assistance in selecting or setting up classroom technology, contact John Hilgers. For classroom emergencies, you do not have to contact the DoIT Help Desk. You may contact John Hilgers directly for immediate assistance.

Room 38 Computer Lab

If there are problems with the lab, contact the DoIT Help Desk and report the problem as detailed above. You may also email classtech@mail.sohe.wisc.edu if the problem prevents the lab from being used for teaching.

Room 118

Room 118 is NOT supported by SoHE technical staff.  For access to technical equipment or problems with technical equipment in room 118, contact Derek Dombrowski (265-9697 or ddombrowski@fpm.wisc.edu)

A/V Equipment for Check-Out

You can check out a variety of equipment such as laptops, LCD projectors, and cameras for use on and off campus. To reserve the equipment, email classtech@mail.sohe.wisc.edu at least 24 hours before the equipment is needed. The request must contain: the equipment needed, the dates and times when needed, and the length of time the equipment will be needed. They will let you know if there is a scheduling conflict or if the equipment is not available.  The individual requesting the equipment will be responsible for picking up, setting up, and returning the equipment in good working order to the A/V Storage Closet, room 163. If you need training on any of the equipment, contact John Hilgers.

Faculty/academic staff using the equipment on a weekly basis can be issued keys to this room; submit a key request form to Jonie Bonfield. Departmental administrators also have a key and can unlock the door if you will use the A/V equipment only occasionally and do not want a key. .

If the equipment you need is not available, try the Helen C. White Library Media Center or DoIT rentals.

Purchasing Software and Hardware

Contact John Hilgers if you would like assistance in selecting software and hardware that will meet your needs. Once you make your choice, you can make your purchase through your departmental administrator or project supervisor.


G. Procedures for Reserving a Conference Room or Classroom Space

SoHE has one main conference room (178), which splits into two parts (178A/178B):  178B provides technology outlets and 178A is a basic meeting space.  Each side provides seating for 15 comfortably; if your group is larger than 15 you can reserve both sides.  

For reservations, first check WiscCal to determine if the room is free on your date. The process to do this is outlined in the Using WiscCal for Ad Hoc Room Reservations document found on the faculty and staff forms section of the SoHE website. If the room is available, read the room policies document and complete the reservation form, both of which can be found in the faculty and staff forms section of the website. Return the form to Julie Anderson.

To reserve non-timetable classroom space in SoHE for special meetings (e.g., speakers, extra meetings, alternate exams), please contact the SoHE facilities manager.

To reserve space in other buildings on campus, contact Central Reservations (262-2511) at the Memorial Union. Contact your departmental administrative assistant first for additional information.

Purchasing and Reimbursement

The University has detailed policies about purchasing and reimbursement for supplies and travel. Contact your departmental administrative assistant or project supervisor to learn about these policies before you make purchases or travel arrangements. You should understand who is authorized to make purchases in your office or unit. For example, instructors may have to go through their departmental administrative assistant to make purchases. Outreach project staff may have to go through their supervisor or become trained in how to purchase items themselves. Other staff may go through the program assistant in their unit.

Supplies

UW-Madison has a special agreement with Office Depot, Dell, and other vendors to purchase office and lab supplies at a reduced price. These items can be purchased at the Materials Distribution Services (MDS) website (http://mds.bussvc.wisc.edu/order/default.asp). Typically, academic staff do not purchase items directly, but rather search for the item number and forward it to the appropriate person to purchase. Items that are not found on the MDS website or are offered at a cheaper price elsewhere can still be purchased. Use the process outlined by your supervisor to make these purchases.

If you personally purchased supplies or had other project expenses that were approved by your supervisor, you can get reimbursed. Pick up a miscellaneous expense form from the table outside the SoHE Business Office (Room 190), complete it within 10 days, and submit it along with your receipt(s) to the appropriate person. The appropriate person depends on which fund you are requesting to pay for the expense. The following people process expense reimbursements:

Travel

UW System has extensive policies about reimbursable travel expenses. Please see the UW System travel homepage for the details about limitations in air travel, ground transportation, vehicle rentals, meals, and lodging http://www.bussvc.wisc.edu/acct/travel/welcome.html

Only travel related to UW business will be reimbursed and employees in travel status are expected to exercise good judgment. You can also pick up a Traveler’s Reference Guide brochure outside of the SoHE business office for an excellent summary of the travel policies and dollar maximums. A good tip is to keep all of your travel-related receipts, even if you are not required to submit them (e.g., meal receipts).

Once you have completed your supervisor-approved travel, you may request reimbursement. Complete the travel expense form located on the table outside Room 190 and turn it in within 10 days, along with any receipts, to the appropriate person:

Tax Exempt Status

UW is a tax-exempt organization. We do not pay sales tax or use tax in Wisconsin. Remember to provide the UW System Certificate of Exempt Status (http://www.uwsa.edu/fadmin/art/cert.gif) to vendors to ensure that taxes are not added to the purchase. If you are traveling in Wisconsin, double-check your hotel receipts, as they commonly add room tax by mistake.
